Assets - Media Files

OVERVIEW


Media Files is an area in the software that allows the user to upload any images or videos that will be used in other areas of the software. Generally, the images or videos will be used in Dashboards for display.

The Advantages to this repository is to allow the user to easily update existing images in one place. Any updates made to the files here will automatically reflect in any application that is using/accessing the files.


NAVIGATION


Access Media Files by selecting the Assets icon from the Applications Quick Menu or by selecting the Menu icon from the Home Page. Once Assets is selected, click on the Media Files option.

ADD A NEW MEDIA FILE


To Add a New File select the Add New button at the top of the page next to the page Heading.



A New Media File properties section will show on the right side of the Files List. Select the Upload Media button or Drag and Drop your file to the outlined rectangle.



If selecting the Upload Media button, navigate to the file location using the file explorer that comes up automatically. Once you find the file, double click on the file.



After selecting a file, the Add Media File window will load. A thumbnail of the image will show in the outlined rectangle. The system will automatically fill in the File Name field with the name of the file.



Click in the File Name field and edit the name if needed.



Click in the File Description field to enter any notes required for the file. These notes/description will only show when the file is selected from the Files List.



After all information has been entered - click on the Save button to upload the file to the system.



The File Name & Thumbnail will now show in the Media Files list on the left side.



Close the New Media File properties window by clicking on the "X".

EDIT/UPDATE AN EXISTING FILE


To Edit/Update an existing file - select the File from the Media Files list so that it is highlighted.



The Edit Media File properties window will load on the right side of the Media Files list.



Select the Upload Media button or Drag and Drop your file to the outlined rectangle.



If selecting the Upload Media button, navigate to the file location using the file explorer that comes up automatically. Once you find the file, double click on the file.



After selecting a file, the Edit Media File window will load. A thumbnail of the image will show in the outlined rectangle. File Name and File Description will not be changed.



Click in the File Name field and edit if needed.



Click in the File Description field and edit if needed.



After all information has been edited/updated - click on the Save button.



The thumbnail in the Media Files list will now show the newly uploaded image. If the File Name was changed, this will be reflected in the Media Files list as well.



Close the Edit Media File properties window by clicking on the "X".

DOWNLOAD A COPY OF AN UPLOADED FILE


Click on the 3-Dot menu icon on any File. Found on the right side of the File Name in the Media Files list.



A pop-up menu will appear - select the Download option.



The file will automatically download. Status of the download will show at the bottom of the browser. The fill will be saved in the default downloads folder.

DELETE/REMOVE A FILE


Click on the 3-Dot menu icon on any File. Found on the right side of the File Name in the Media Files list.



A pop-up menu will appear - select the Delete option.



A warning message will appear on the screen. Select Delete to remove the File or select Cancel to keep the File.



The File Name will no longer show in the Media Files list if Delete was selected.
